We are now hiring for a full-time Senior Site Operations Manager to join our Southwest Team!
SALARY: Compensation is commensurate with years of related experience, position requirements, and candidate qualifications. The average salary for the position is $68,000.
ESSENTIAL JOB FUNCTIONS:
Responsible for operations and/or facility oversight that may include direct supervision of a support staff, for one center with multiple facilities/sites.
In cooperation with program and site leadership, has leadership responsibility for planning and operation functions related to programs.
Manage, train, provide performance feedback and assign duties of direct reports to ensure productivity, efficiency, and effectiveness of tasks.
Resolve day-to-day operational issues including system support, customer complaints, and inquiries from internal and external parties.
Enhance office productivity through proficient use of resources and tools, development of resources, as needed.
Excellent interpersonal and communication skills with the ability to interact with all levels of the agency, ability to multi-task and prioritize workload of self and others
Strong conflict management skills, including those involving sensitive and complex matters; ability to deescalate and resolve
Collaborates with other departments and leadership to support agency priorities and initiatives.
Facilitate the achievement of prescribed agency standards and/or Key Performance Indicators (KPIs); lead staff to be successful and give ongoing opportunities for growth by supporting professional development.
Ensure staff attend all mandatory agency trainings and use skills in day to day activities.
Build and maintain partnerships with other departments i.e. Accounting, HR, Information Services, Quality and Outcomes, etc.
Assesses support need of programs in order to maximize office functioning and resources for support-related volunteers. Advocates for support staff.
Manage and/or monitor site volunteers and reporting process.
Responsible for supervision and professional development of support unit and oversees hiring, promoting, and terminating of support staff.
Responsible for supporting service to clients including scheduling, financial registration, collecting fees, and file and records management.
Supervises site management and planning, including repairs and contracted maintenance.
Oversees space planning and allocations, equipment, and supplies including telephones and budgeting.
Responsible for all facility maintenance and updates, reporting concerns up to director level as necessary.
Maintain facility audit reports and certification including those needed for program audits.
Responsible for key and alarm code assignments for site
Works with staff to implement safety plans both site- and client-related; may have oversight of site safety committee.
Manages all site-based accounting functions necessary to local unit, including limited to payroll functions, all financial reporting, banking activities, and billing for internal and external purposes. Works closely with Accounting and Billing Departments.
Responsible for analysis of equipment and supply need of unit. Secures cost estimates from vendors and contractors and directs the purchase of supplies and equipment. May negotiate contracts.
Responsible for automation support which includes local software applications, staff orientation and support, data backups and security, and hardware maintenance. Works closely with IS.
Oversees and monitors IS requests at site level. Responsible for coordination of equipment need and deployment and tracking.
Responsible disseminating a wide variety of communications at site, orientations, and maintaining site distribution lists.
Serves as an agency super-user related to various software and billing systems.
Develops and manages support and facility budgets, including leveraging additional resources.
Serves as consultant and/or facilitator in office practices and pilots, including IMS and accounting.
Liaison to all administrative support departments. Serves on agency-wide committees and workgroups.
Provides consultation and training to Site Operations Managers at other sites.
Maintains a working knowledge of all site programs and services in order to develop, plan for, implement and manage supporting office systems and operational need of programs.
Oversight of record request and subpoena system
Oversight of inventory control system(s), including, but not limited to Kintone, Staples, etc.
Provides support to local boards, advisory committees, consortiums or other external collaborative groups. May act as liaison.
Collaborates at site and agency level with management to ensure effective site and program functioning at center and across the agency.
Committed to participating in site-led community initiatives
Collects, analyzes, and uses data to make decisions and design systems.
Works evenings and weekends as needed.
Works effectively with diverse staff and service populations.
Available as needed for site emergencies

QUALIFICATIONS:
Bachelor’s degree in business or related field from an accredited college or university and five (5) years of related office experience with increasing and multiple levels of responsibility, preferred
OR High School Diploma or equivalent education and eight (8) years related office experience with increasing and multiple levels of responsibility, required.
Four years of experience in a supervisory role, required
Must have access to a vehicle, valid driver's license and proof of insurance to perform essential job functions, required.
Demonstrated management skills with emphasis on guiding and developing a team, customer service, communications, and planning.
Ability to effectively present information to clients and staff.
Demonstrated knowledge and skill in project management; analysis of workflows and operational procedures.
Demonstrated knowledge and skill related to accounting and IMS functions at a level which assists the agency in development and implementation of pilots to improve efficiency.
Demonstrated leadership skills, which include supporting and leading direct reports, internal peers and colleagues, and working collaboratively with external partners.
Proficient computer skills, including Microsoft Office Suite.
Ability to work effectively with diverse individuals and groups.
Excellent written and oral communication and interpersonal skills.

PHYSICAL DEMANDS:
While performing the essential duties of this job, the employee is required to sit and stand for sustained periods of time, frequently talk, hear, use hands and fingers to feel, handle and operate objects or controls, and occasionally stand, bend, stretch, stoop, kneel and crouch.
The employee is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures, transcribing and viewing a computer terminal.
The employee may occasionally lift and/or move up to 50 pounds.
